Privacy Policy

Last updated: October 21, 2025

Look, we get it - privacy policies can be a real snooze-fest. But here at Luminar Crest, we actually care about how your information gets handled. We're not gonna bury anything in legal jargon or try to pull a fast one. This page explains what we collect, why we need it, and what we do with it. Pretty straightforward stuff.

When you reach out to us or work with our studio, we'll typically collect:

  • Your name and how to get in touch (email, phone number)
  • Project details and location info
  • Budget range and timeline expectations
  • Any architectural preferences you've shared with us
  • Website usage data (cookies, IP addresses, browser info)

We're not gonna ask for stuff we don't need. If we're collecting it, there's a real reason for it.

Here's the deal - we use what you share to actually do our job and make your project happen:

Project Work

Getting your designs done, coordinating consultants, managing timelines, keeping you in the loop throughout the process. The usual architecture studio stuff.

Communication

Responding to your inquiries, sending project updates, sharing relevant info about sustainable design trends or building code changes that might affect your project.

Legal Obligations

Sometimes we gotta keep records for professional liability purposes or compliance with Canadian building regulations. It's part of being a licensed architecture firm.

Website Improvements

Analytics help us figure out what's working and what's not on our site. Makes things better for everyone down the line.

We take security seriously around here. Your information gets protected through:

  • Encrypted connections - All data transmission happens over secure channels
  • Limited access - Only team members who need it for project work can see your info
  • Secure storage - Files are backed up and stored on protected servers
  • Regular updates - We keep our systems patched and current

Real talk: No system is 100% hack-proof, but we're doing everything reasonable to keep your stuff safe. Been running this studio for years without any security incidents, and we plan to keep it that way.

We're not in the business of selling your data. Period. But sometimes we need to share info with:

Project Consultants

Structural engineers, sustainability experts, contractors - the folks who help bring your project to life

Service Providers

Cloud storage, email services, project management tools - the behind-the-scenes tech that keeps things running

Legal Requirements

If the law requires it or there's a legitimate legal process, we'll comply (but we'll let you know unless we're prohibited)

Professional Bodies

Architectural associations and licensing boards when required for regulatory compliance

Everyone we work with is bound by confidentiality agreements. Your project details stay within the professional circle.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately. These are small files that help our website function properly and give us insights into how people use the site.

Essential Cookies

These keep the site working - stuff like remembering your preferences and maintaining security. Can't really turn these off without breaking things.

Analytics Cookies

Help us understand what pages people visit, how long they stick around, where they're coming from. All anonymous data that helps us improve the experience.

You can disable cookies through your browser settings, but some parts of the site might not work as smoothly. Your call.

Under Canadian privacy laws (PIPEDA specifically), you've got some solid rights:

  • Access: You can ask to see what personal info we've got on file about you
  • Correction: If something's wrong or outdated, let us know and we'll fix it
  • Deletion: Want us to delete your info? We can do that (unless we're legally required to keep it)
  • Opt-out: Don't wanna receive our occasional updates? Unsubscribe anytime - no hard feelings
  • Portability: Need your data transferred somewhere? We'll provide it in a usable format

To exercise any of these rights:

Drop us an email at studio@luminarcrest.info or give us a call at (604) 555-0142. We'll get back to you within 30 days.

We don't hoard your information forever. Here's our general approach:

  • Active project files: Duration of the project plus 7 years (professional liability requirements)
  • Inquiry information: If you don't become a client, we'll keep it for about 2 years then delete it
  • Marketing preferences: Until you opt out or we shut down our mailing list
  • Website analytics: Typically 26 months, then it's automatically purged

If there's a specific reason we need to keep something longer (like ongoing litigation or regulatory review), we'll do that. But we're not keeping stuff just for the sake of it.

We're based in Vancouver, BC, and most of our data stays in Canada. However, some of our service providers (like cloud hosting companies) might store data on servers located in other countries, including the US.

When your data goes outside Canada, it's subject to the laws of that country. We only work with providers who have solid privacy protections in place, but you should know that foreign governments might be able to access that data under their own legal frameworks.

If you've got concerns about this, let us know. We can discuss the specifics of where your project data gets stored.

Let's hope this section stays theoretical. But if we ever experience a data breach that poses a real risk to your personal information, here's what'll happen:

  1. We'll notify the Office of the Privacy Commissioner of Canada as required by law
  2. We'll contact you directly if your information was involved
  3. We'll explain what happened, what data was affected, and what we're doing about it
  4. We'll provide recommendations on steps you can take to protect yourself

We take this stuff seriously and have incident response procedures in place. But again, hoping we never have to use 'em.

Things change - laws get updated, we adopt new technologies, our practices evolve. When we update this privacy policy, we'll:

  • Post the new version here with an updated date at the top
  • Send an email to active clients if there are significant changes
  • Give you a heads-up if the changes affect how we use your existing information

We recommend checking back here occasionally, especially if it's been a while since you've looked at it.

Questions About Your Privacy?

We're happy to chat about any of this stuff. Privacy shouldn't be mysterious.
